Privacy Policy

This policy describes what JobQuote IQ collects, what we do with it, and what your rights are. Short version: we collect what you enter plus what we need to run the Service, we never sell your data, and we do not use analytics or tracking cookies.

1. Information We Collect

We collect the following information when you use JobQuote IQ:

  • Account information: Name, email address, shop name, and password (stored as a salted hash -- we never store plain-text passwords).
  • Business data: Customers, contact people, quotes, line items, jobs, invoices, payment records, default labor rates, tax settings, and any logos or files you upload for use on quote and invoice PDFs.
  • User accounts on your plan: Names, emails, and roles of additional users you invite to your account.
  • Payment information: Billing is handled entirely by Stripe. We do not store credit card numbers. We store only your Stripe customer ID and subscription ID.
  • QuickBooks connection tokens: If you enable QuickBooks Online sync, we store the OAuth access and refresh tokens necessary to push records to your QuickBooks account. We do not store your QuickBooks login credentials.

We also collect limited technical information automatically:

  • IP address and browser type (standard web server logs for security and abuse detection)
  • Pages visited and features used within the application (for debugging and product improvement)

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Generate and deliver quote and invoice PDFs by email to recipients you specify
  • Push customers and invoices to your connected QuickBooks Online account (only if you enable this feature)
  • Process payments and manage your subscription
  • Respond to support requests and account questions
  • Improve the Service and fix bugs
  • Comply with legal obligations

We do not sell your data. We do not use your data for advertising. We do not share your data with third parties except as described in Section 4.

3. Email You Send From the Service

When you send a quote or invoice from JobQuote IQ, we transmit an email on your behalf to the recipient you specified. The email is sent from a JobQuote IQ-owned mail server but displays your shop name and reply-to address. We retain a copy of sent emails (subject, body, recipient, timestamp) for audit and delivery-failure troubleshooting. We do not use the contents of these emails for any other purpose, and we do not share them with anyone other than the intended recipient.

4. Third-Party Services

We use the following third-party services to operate JobQuote IQ:

  • Stripe -- Payment processing for your subscription. Your payment information is governed by Stripe’s Privacy Policy.
  • Intuit (QuickBooks Online) -- If you connect QuickBooks, the records we push are governed by Intuit’s Privacy Policy. You can disconnect at any time.
  • Hostek -- Web hosting, email delivery, and database infrastructure located in the United States.

Each provider is contractually obligated to protect your data and use it only to provide services to us.

5. Data Storage and Security

Your data is stored on servers located in the United States. We implement industry-standard security measures including:

  • HTTPS/TLS encryption for all data in transit
  • Passwords hashed using industry-standard salted hashing algorithms
  • Token-based authentication with short-lived access tokens
  • Tenant isolation -- your data is never accessible to other accounts
  • Regular encrypted database backups with off-site retention

No method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we take reasonable steps to protect your information.

6. Data Retention

We retain your account data for as long as your account is active. If you cancel your subscription, we retain your data for 90 days to allow for reactivation or export, after which it is deleted. You may request earlier deletion at any time by contacting us.

When you delete a quote, job, or invoice from within the application, it is soft-deleted and retained for 30 days to support undo and audit. After 30 days, it is permanently removed from our primary database. Encrypted database backups may retain deleted records for up to 90 days as part of the standard backup rotation.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data via your account settings
  • Delete your account and associated data by contacting us
  • Export your quotes, jobs, invoices, and customer data in CSV or JSON format
  • Disconnect QuickBooks Online or any other integration at any time

8. Cookies and Tracking

JobQuote IQ does not use tracking cookies, third-party analytics, advertising pixels, or behavioral profiling. We use browser localStorage and session cookies solely to maintain your authenticated session and UI preferences. This data stays on your device and is cleared when you log out.

9. Children’s Privacy

JobQuote IQ is a business software product not directed at children under 13. We do not knowingly collect information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. For material changes, we will notify active customers by email. Continued use of the Service after changes constitutes acceptance of the updated policy.
